What we collect
To care for your dog and run the booking, we keep: your name, postal address, phone, email, your dog's name & basic profile (breed, age, food, vet), your bank reference (when paying), and notes from each booking. That's it.
Why we collect it
To deliver the service you've asked for, send you an invoice, and contact your vet or emergency contact if something happens to your dog. Legal basis: contract (most of it) and legitimate interest (emergency contact).
Where it lives
On a phone (encrypted), a laptop (encrypted), and a backup drive. Card details are never stored — payment is by bank transfer. Booking emails sit in a personal Gmail account protected by 2-factor auth.
Who else sees it
Nobody, unless: (a) your vet, if your dog needs treatment; (b) HMRC, where the law requires tax records to be kept; (c) Wiltshire Council, on request under the boarding-licence inspection rules.
How long we keep it
While you're an active client + 6 years afterwards (HMRC record-keeping rule). Photos for marketing are deleted on request.
Your rights
You can ask Soph for a copy of what's on file, correct anything wrong, or have everything deleted (subject to the HMRC rule above). Email soph@wearehappydogs.com.
Photos & social media
Soph only shares photos of your dog with your permission. Tell us once and we'll never share again — or remove anything already up.
Complaints
If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
